Keep Every Deck MLR-Approved | SlideHub for Pharma

Hi, Acme Therapeutics team. My name is Luke. I'm your Customer Success Manager. Thanks for taking the time to watch this. I've recorded it specifically for you, so feel free to pause, skip around, and also share it with anyone who'd find it useful. So today we'll be doing a demonstration within a custom environment with your material. So a quick recap of my understanding of your world, of Acme Therapeutics world. So you're a pharmaceutical company with several brands operating in different markets, and your teams are essentially building presentations all the time, you know, for doctors, hospitals, potential buyers, for the people who decide on funding, and also for colleagues internally. And every one of those presentations, of course, carries risk because, you know, wording that's perfectly fine in one country, for example, could potentially get you in trouble in another. Because things like compliance matter tremendously. So you're balancing two things. Presentations need to go out quickly, but they also need to be right pretty much every single time. And today that mostly depends on people being careful and on your regulatory team spotting mistakes before they go out. So that's the problem that I'll show you slide hub solving in this demo environment set up to match the brand and slide material. You know, company information slides, drug brand slides, and also your field resource material. Two things to look out for throughout the call today. First, what the everyday experience looks like for your end users. End users are the people that are actually building presentations that are leveraging slide hub as a tool. And so what you want to be looking out for is that, you know, in slide hub is the tool, you know, does it make it genuinely easier to do what they do today? And are the benefits there that they can improve their efficiency and reduce human error when they produce presentations? And secondly, and this is when it also comes up a notch where it might get interesting for you specifically. You know, I know that you're concerned about compliance and governance as admins of the slide hub tool or owners of your brand material. So unlike end users, you know, you're in charge of the slides themselves and managing the slide hub tool when you use it. So I'll show you the second point, which is the compliance and governance layer. You know how you make sure that you get the right output decks from your end users, how you can how you can stop approved content being edited and how you get visibility over what's actually being sent out. So the agenda for the meeting is as follows. The first 10 minutes or so, we're going to go over the basic end user experience within PowerPoint. Then we'll look at the more advanced automation features like presentation builder, locking slide content, having slide sets where you marry up multiple slides to always be downloaded together and placeholders, whether they're end user managed or centrally managed. And we'll deep dive into all of these and we'll also segment the video so you can jump to them if you find them particularly interesting. Outside of these features next we'll look at governance visibility, things like send and track where you can track views and downloads of the material that your end users are building. And then as admins looking at statistics so you can see how slide hub is being used. So let's get into it right now we're on the browser view. What I want to go to next is the is PowerPoint. PowerPoint and we're starting from scratch as an end user. We open it like so and we're on a blank presentation. So as an end user if I want to start using slide hub if I want to start using the material within the account, you'll see that slide hub is here in the ribbon at the top right. I can click on that like so. And this is the first most important thing to understand, you know, is where slide hub lives, which is in here in the ribbon. Your people don't have to go to a portal, a SharePoint site or a shared drive. The entire approved library actually sits here inside PowerPoint in the panel. So what can I do as an end user? We have this little menu appear up and we can just go through this chronologically essentially. If I click show buttons, I see the full the full spread. So. If we start actually with create new presentation. So this option quite simply pulls the master template from Acme Therapeutics library. So I can start from scratch here every time you see that the layouts are here as standard in PowerPoint and I can scroll through and use these. If I click on this second option here, you'll see insert Acme Therapeutics slides. This button simply takes us to the content library for the company. If I clicked on the magnifying glass, then I can look through slides in here. But if I clicked on the text, it takes me to the slide hub dashboard. So what we're looking at now is the library, the material that I can look through as an end user. And a library is only useful if people can find things fast, right? Folders alone, you know, don't necessarily cut it like in SharePoint because a slide rarely belongs in just one place. And to find these slides rather than opening. Files opening decks, I can now view things as an end user very simply within the slide hub library and view the individual slides. So if we look to here at the moment, there's just a few base layouts in the layout section. And this is the menu here on the left of the library. And these are what we call categories. If I click on builder, that takes us to just one deck in here, which is the presentation builder. And then if we look at the mass of the material that you have in the account, that's under brand and clinical. So these are three categories that you can make as an admin. These are just examples that I've produced for you. And now we're in brand and clinical. We can see slide sets. We can tell that that slide sets by the icon here. We can see a full presentation here. We can tell that's a full presentation by the paperclip icon. And then we can also see individual slides. And I can scroll down and find things based on their labels. What we call a visual label. I can see the slide information itself. But rather than just scrolling, we can also point and click not just through categories, but also subcategories and tags to filter down the material that I'm looking at. So if I click on science, for example, then the slides which are specific to science can appear for me to click on and insert into the deck that I'm looking for. Like so. I've clicked on these two and I can insert them. We're not going to do that just yet. Apart from pointing and clicking, by the way, through the categories, subcategories and tags, I can also search for slides in here, you know, up at the top. And the text on the slides are actually searchable. So this means it's very intuitive for your end users to find the material that they need. And at the moment, you know, we have around 40, 50 slides in the library. But you can imagine when you have 300, 400, how intuitive search will be for your end users. So if I type in COPD, for example, I have four showings. And the reason these three slides and this presentation are showing is because they have COPD on them. Like here, for example, if we look at this by clicking on the magnifying glass, we can see this at scale. And now I can pick and choose these slides to add into the library. Marketed portfolio. Same again. This is me being able to search. Now you can also use functions in here. So if I typed in COPD and diabetes, for example, now you'll see that the filter has reduced to only show slides which have both of those terms on them. And then also the presentation. And why the presentation is showing is because it's telling us that, I mean, I would imagine it's these two slides on the left which appear in this full deck. So super straightforward. Great. So we can remove that. And let's say we now want to insert slides into the deck that we're working on. So I want to go by company. I like the title. I like company at a glance. I like our history, therapeutic areas. And then also important information. So I can now insert these slides into the deck. I can click on them like so. Now, before it inserts, we can see that there is this date placeholder on the title slide. This one here. And it auto defaults to the current. The current date. I can select that. And that means that when it's inserted into the deck, that placeholder is is met with the day it fills out like so. And we can see here 31st of July, 2026. This was the slide from earlier. But as you can see, it's exactly within the master template like so. Everything as it as it should appear. And it's been pulled into the deck in the order that I've introduced them. Now, if you remember when we inserted this disclaimer side, if I if I go back here and show you actually. It was under company. And I could also type in the safety, for example. You'll see that there's this locking icon on this slide. This means that the slide content is locked and it's something that the admin would have set up. So if we now revert to this in the deck. I'm actually clicking right now and I can't change anything on this slide. And that comes back to the governance layer for you as admins. You can choose for slides to be locked, meaning that the end users can't edit them. So you can save once again human error. Whereas in this case, this slide isn't locked. So I can move stuff around. Right. Like so. Now, the next one is, in my experience, the feature that I would say makes compliance teams and sit up. So if we if we take this slide, for example, or if we if we take if we take this slide, our history, five decades of scientific milestones. So this is a core slide. Right. We looked at company information slides and they appear in multiple locations. We have one in the presentation builder, which we'll look at shortly. And then we also have this slide visible. If we just go to presentations here. It's in this brand and clinical overview reference deck, which means that it's both in this presentation. And available separately as an individual slide. And as well, it's in the presentation builder, which we haven't looked at just yet. But this one slide is in three locations. So in a traditional setup, you know, that same slide would be copied in multiple in multiple places. So there'll be three versions of that slide, which means four separate potential locations to update if data changes or any information on that slide changes. Now, that's just the base presentations and locations. But let's say you have 100 end users. Of course, they're going to be using this slide in almost any presentation that they're that they're working on, which means that there could be 100 locations where if you as an admin go to update a slide, you know, you wanted to make this 2027 to make it more relevant, then 100 of your employees have to go find that slide and add it into the deck that they're that they're working on. Now, as an admin, if I push an update to a slide, the end user will be notified of a change. And that will completely reduce this human error and completely improves the compliance and governance level on your assets. So let's do that. If if we just take off the end user hat right now and we put on the admin hat and let's say we want to update a slide, we can do that here. You can also do it in PowerPoint, of course. So now we're an admin and we're going to open this slide and we're going to make a change to it. It can be any change, of course, but let's just say in this case we want to change just the 2027 from 2026. We can push this update back to slide hub as an admin. And by the way, throughout this video from start to finish, I have had admin rights in the account, meaning I have access to this manage button and access to this update button. End users can't do that. So we've made a change. So we've made a change. I can now push this update back to the central library in slide hub. And this is, you know, this is behind the scenes in a sense. And back to what I was saying earlier, this slide is part of two presentations. Just letting you know, you know, confirming we're going to apply changes globally across all the presentations. And as an admin, I update the slide once here in PowerPoint. We're doing one slide by the by the way, right? We're not bothered about the custom font. That's not a problem at all. It's just a validation check. It's asking us about sensitive content. Also, it's not a problem, but it's just there for you if you need to review it. And now this update is being pushed. The slides being updated shortly. If we go back into slide hub and I just refresh. Well, I can actually look at the changes panel here and used by me. I can see that an update has happened so I can see it globally as an admin and an end user. But crucially now, if we take off the admin hat and put back on the end user hat, we can go and look at the presentation that we're working on as an end user. Or one of the 100 end users, right, that might be using this slide in their deck as they come back in on a Monday morning after you've made that change as an admin on Friday, let's say. And you'll see firstly on the right, there's a big shiny red notification that's telling me, hey, this deck that you're working on, you've got an outdated slide. Your file contains one of these in this case. Click to see the relevant slide and consider the new using using the new version. So if I click on this, I can see the admins update update a minute ago by my admin alter ego. And I can actually, you know, if I go off of it, you'll see that it says that this is linked to the library and doesn't need updating. But if I hover over the right one, there's a new version of this slide. I can highlight the changes as an end user. We can see the little change there with a bit of a red blackout. And then we can see the change at scale comparing it side by side. I can close that and I can pull in the new version like so. And I can delete the old one. And now this deck that I'm working on, it says no notification. We're now working on the latest material. So you basically have a live capacity to be in control of the slides, the data, the information that your users are producing when they produce presentation. You know, if I had this deck and I was going to present it in five minutes and an admin made an update, it's so quick that I can just trust I'm working on the latest slide material. Next. Alongside slides, your people can get approved icons and imagery right in the same panel on brand, licensed with one click. And this actually closes off another risk. You know, people pulling images from Google because it was quicker. Here, the compliant option is actually also the fastest option, which is exactly how you want it. And by the way, as an admin, you can choose how much people have access to. We have, for example, and by the way, we're in the icons area of the tour at the moment. These standard icons are from slide hub, but you can limit access to this. You know, it's completely within your remit to just have access to your own Acme therapeutics icons, which are these. And as an end user, I can just insert these and keep open the dashboard. But it's quite similarly formatted to the company slides area. But in this case, you have your own section where you can upload icons or you can use slide hub standard icons. And we have access just to two variants right now. A solid and normal line, but there is more in the back end that you can choose from. So if I typed in chess, I can just go ahead and insert these, these icons. So that's working in the background. Other assets here, you have flags. So I could type in United Kingdom and I can insert the circular one, or I can go to logos and I can type in. First, you know, brand that's come to mind, Novo Nordisk. I can view those icons and also insert that into the deck that I'm working on. So you just have access now to a consolidated toolkit of the assets that you may be using. We're in icons, flags and logos now, but we can go to images here from this menu on the right. But we can also just access it by the tabulation here on the left. Click on images. You once again have your own section. At the moment, there are just employee images in here, but you also have access to Unsplash royalty free premium images from Unsplash that you can use and insert into the deck that you're working on like so. Great. So now we've got all the bits and pieces pulled in. It wouldn't really make sense on the milestone slide, but you can see how it can be customized and used. And then here are all the icons. Great. So you'll see that this icon is the same color as the font here, right? That's because it's been set by an admin. So if we go back into Acme as the standard here, you'll see that this color has been pulled from that master template. So this color will be applied. So you also have lots of nice small aspects like that to improve the compliance or improve the kind of consistency of the deck. Right. So now if we move on to automations a little bit here. Firstly, I want to show you the data table automation, which is where you can have slides customized through a workflow. And in this case, it's pulling from employee profiles. So let's see it in action. So you know what I'm talking about. I can click on the slides again and we can see that this slide is a data table. And what I mean by that is that there's a placeholder for an image, a placeholder for a name, role and specialism. And this is matched against a data table. So I can pick and choose who should be fulfilled in this deck in this slide even. And this is the data table information. And I can choose Rachel Cho, Adrian Mercer, David Okafor and Michelle Tanaka, for example. I can click that. And it's customizing the file. It's adding the elements in their respective space. If I close this, you can see it like so. Rachel Cho, the role and then her specific specialism. So, yeah, super, super fast and super on point with the information. Now, let's say we want to use a presentation builder. So, so far, we've done stuff manually, right? Like we've pulled in the slides that we want and customize them as we want them to be. That's perfectly fine. But you as admins can set up something called a presentation builder. And how I would use that as an end user is I would click through a workflow to produce a deck based on questions and answers. So, you know, here's the scenario. Someone in one of your affiliates needs to build like a presentation for a customer meeting. The content rules depend on things that they shouldn't have to memorize. You know, which drug brand they're using, for example. But it also could apply to like which region, which market archetype and so on and so forth. Like it can be very simple, a presentation builder, or it can be very complex and there can be more questions and more answers to then pull certain slides. And today, you know, that knowledge like lives in emails, SOPs, the heads of your medical and regulatory team. But the presentation builder basically puts it into a formatted tool instead. So if I click on key presentation shortcut, we've made the presentation builder as a key presentation. So I can just access it here. I click on it and then I have questions at the moment. There are just two. Right. So it's very simple. But I have other clients, especially in the medical field that do regulate the output of the file based on not just drug brand, but also market archetype, market maturity, also location, whether it's in the US or the UK and so on. But in this case, for this demonstration, we can customize a file based on drug brands. So which drug brands would you like to include? Well, this means that we're only going to have slides related to Immunovex and Glucenta. And then I can choose to either just include the full science section, which is a part of the field resources, or I can choose the specific slides myself. In this case, if I click include entire science section, well, it would pull the full section. I click continue. And then we also have some more field resources and appendix slides, which are not pegged against a form like we've just seen. But now these are extras that I can pick and choose as an end user to add them into the deck that I'm working on. And let's say I want to take these three and I can click next. Then I get the placeholder option, as we saw before. So, you know, the builder asked me a few plain questions. And based on my answers, it assembles the deck for me. So in the presentation builder, we have the title and then we have something called mandatory slides. So these company information slides are always going to appear and are not conditional based on the form. These are mandatory. Yeah. Like so. And if we go to the second section brands, we can see here that the only slides which have come in have been the slides related to Immune of X. Like so. And glue center. So in just a matter of clicks, I've included only the drug brands I need. And then also this is the science section. I've asked to include the full science section there and then field resources. Once again, only the slides I've selected and the deck is now produced. So this is this is one of the headline benefits for compliance. Like the person building the deck, you know, they cannot act. Or, you know, it's much more reduced that they could be using the wrong slides because they have this very clear workflow that you can set up as admin. So like accuracy leans less on individual diligence and basically becomes a property of the system. Yes. Great. Great. So if we just go back to the last deck that we've been working on this one here and just and you'll see that that opened in a new file, by the way, that's also something that you can set up. Do you want it to be introduced into the current file you're working on or a new file? Super. So another aspect of automation is slide sets. So if we go back into the to the library, this means that the story stays whole. So you can, as an admin, set slides to exist together. We sort of indirectly saw it in action by having the immune of X slides inserted as a whole. But that was via the presentation builder. Whereas now in this library, you know, if I go to brand and clinical. And I go to new realtor, for example, these slides are individual slides, but they should go together. And as an admin, you can make sure that they go together by. Having them in something called a slide set, which means that if I click insert. That means that the new router slides will always be downloaded together. And you can also, in fact, by the way, hide the individual slides so that they only exist in a slide set, which meaning that your users can only download it fully. It basically bundles the slides that belong together. So they come into the deck together in order. Users get a shortcut. You know that they're inserting a whole approved section in one click and you can get assurance that the approved narrative travels as a unit. Great. So another, another automation that you have autonomy over is placeholders that are admin managed or centrally managed. This is one of my favorite like behind the scenes features. And yeah, this is admin territory. So it's like the cool stuff under the hood. And so far we've seen end user placeholders as in the text placeholder here where the date is inserted. Or in this case, the sequence of data across image name role and specialism is inserted. Right. Right. But if we look at this deck, if we, if we look at this slide, we can see that when we insert it as an end user, as you saw earlier, it just pulls in. It just pulls in like so. But these numbers will likely change for Acme Therapeutics for your company over time. And these numbers or these bits of information, the small pieces of text, they might not just exist on this slide, but across hundreds of slides. Today, updating one of these means finding every single slide the marketed medicines number eight appears on. And in marketing or knowledge management, like that is going to be tough. Whereas when you use admin managed placeholders, these updates that you make similarly to full slides will be changed in every location. So how do we do that as an admin? Well, I can show you, I can take you to. Yeah. Under the hood in the back end, as an admin, you have access to something called manage account. And we're not going to go too much into this today because this will be reserved for a training session. But in this back end, I want to show you how to find and update the admin managed placeholders. So if we look in the admin view on the left, we'll see automation here. I can click on this. These end user placeholders. We've seen them being leveraged in the data table, which you can see here. You can see presentation builders. But if we just focus on admin managed data here, these are the centrally managed placeholders. So I can change here behind the scenes. And now every slide which is using, you know, marketed medicines, it is telling us it's used in two slides, by the way. These ones. We can go back to automation like so. But I can now make a change centrally. And we're going to do it one by one like so. And I can change it to 10, for example. And this is using the slide hub functionality to change the admin managed placeholder. But by the way, if you had, you know, tens of these or hundreds of these, you can update them in batch using a template Excel file and then re-uploading it with the changes. So, you know, super straightforward and useful. Once again, as an end user, it tells me I'm working on an outdated slide. It's just updating. Might take a couple of seconds. But I now have functionality to insert the new slide with the updated placeholder information. And I can just pull it into the deck like before. Click on new version. Delete the old. And here we go. So that's the end user experience. But also like, unless they're working on slides on the go, when you make an update centrally, you know, it's invisible to some degree, which is the point. Like when they go to download this slide, if it's new into a new deck, it's just simply going to be updated and ready to go. So, you know, you can just trust that there's no version drift, no slide from the last quarter with last quarter's marketed medicines on it or whatever number. It's just super, super streamlined. Great. So moving on. What I want to show you now is a little bit more on governance and visibility, specifically a send and track. So let's say as an end user, we want to, you know, we want to save this slide. I'm just going to save it in the desktops. It's called science that endures. I can save it here like so. I can close that. I can do that now. Exit admin view. But we can use send and track from the browser or from PowerPoint, by the way. And it's this other section here called shared links. And it does really leaves the building. So we've talked about building content. But this last piece is what happens when it is sent out, because that's the moment also matters most in a regulated environment. And send and track works like this. So instead of attaching files to email, I can bundle everything the recipient needs. The deck also potentially supporting PDFs, you know, whatever belongs together via this slide hub functionality into into a single link and send that. So how do we do that? We can say science, science based deck, you know, whatever it might be. We're going to enable tracking and we can add the file from the computer. We can also do it from the platform, by the way, if you had pre made decks ready to go. It's also possible. I click on upload computer. I go to here and I take this one. And I can choose the access level. So once a recipient opens the downloaded file outside the link, you know, the activity won't be tracked, but I can choose the level of accessibility they have to it. So I can make it, you know, no download view only. I can add a password. So I can call this. I'm typing in health, by the way, and I can also ask for an email. So it requires recipients to enter the email before they can view the file. And I can also look at additional settings, expiration date, receivers. Internal note, share link access with colleagues, and I can generate the link. And this is the receiver link. This is the password. And I can now send it to a recipient. But if we just go, if we just take an incognito, for example. And this is what the recipient will see. And I can type in the password, access it, and I can look at the deck. I can see here that I'm viewing this file, that there's contact information, that this is powered by SlideHub. If you remember, we asked for no download, but you can also allow them to download the deck as well. And we can look through like so. So super, super straightforward. You know, no file sign, you know, no zipping things, no, the attachment was blocked. Speed is really of the essence here with send and track. The second thing is like distribution. One link works for multiple recipients, of course, or faulty, or just one. And if I need to correct something, I can update the bundle. And the experience on the receiving end is clean and professional. So now if we kind of come out of this and then we go back to the governance perspective, this is where we can see the admin view of sent materials. If we go to all and we take this science based deck, we can see the statistics on the tracking. So we can see the name. We can see it's been viewed once. We can see that it's been viewed for a total duration of 53 seconds. There was no information received from the receiver, as in we didn't prompt for the email. It was created on this date. Last viewed a minute ago, expires at the end of August, one file and it's active. So on and so forth, right? If I click on the down arrow, then I can also see specifics on how the users, the recipients have engaged. So I can see that they looked at the first four, five, six slides, and then they dawdled on the slide six for 37 seconds. So incredibly useful for both the user and also you as the admin. You can get an overview of what people are doing and what they're sending. So if there's ever a question about like what potential buyer or customer or doctor has was shown in what version by whom, you know, the answer is right here. Not reconstructed from someone's sent folder six months later recorded, you know, right at the moment of sending. So I would say, you know, that's good governance built right into the workflow rather than what's bolted on after. Okay. So the last feature that I want to show you for today's session is statistics. Statistics. So you can see, you know, how the whole system can work and how it's being used and how it can then with your input as admin be improving or be self improving. You can see what content is actually being used and what isn't. So if we go back into manage account. So this is the last admin thing I'll show you today. We can see here on the menu on the left statistics and we can see an overview firstly of. How the tool is being used, how you've implemented it and the governing like the overarching. Metric is time saved. This is where you can see essentially your return on investment for using slide hub. We have like a conservative. Estimation of time saved that's calculated there and you can see it here and there's a bracket by the way. It's not specific to 15 or five because we know that there's nuance between them. And so you can see month on month, how much time is saved, how many users are active in the account. So people that are using slide up in the last 30 days against the seats that you have occupied, how much activity is made and so on and so forth. You can see activity per type. We can see that 40 slides from the company library will be downloaded in the last six months. 34 documents, 244 company images and so on and so forth. We can see asset specific activity and we can see here that me and then my colleague Song are downloading particular slides. It looks like we're working on similar slides together, which is cool. You can also see stuff when slides have been added so you can see what your other admins are doing if you have any. You can see user activity like so. And you can also and this is really cool, see what your users are searching for, but which isn't yielding any result. At the moment, you know, there's currently no data. It takes a little bit of time to update. But let's say people were searching for slides on a particular drug brand that you actually don't have in your slide hub library. Well, you'll be able to see searches without that result rate, meaning that you can then be informed as an admin to update. And add those slides to library so you can know this rather than guess and just get a really good control over your over your slide material. And also you'll see here shared links at scale. So there's one user that's doing it me as an end user, but you can see at scale all your end users doing this here. Super. Super. So, you know, I think like for a compliance minded organization, this sort of closes closes the loop. Like you don't just deploy approved content. You can verify if it's the, you know, the right content actually in circulation. So if we just go back to the homepage here, we look at brand and clinical. I just want to summarize what we've spoken about today. So what you've seen, you know, let me pull this together. Let me pull this together. Like what you've seen is one system doing two jobs at once for your end users. It makes like the fast way of presentation production and the right way the same way. You know, contents found in seconds inserted on template assembled even manually by them, but also potentially by a presentation builder that already knows the rules for you as admin. It means control and visibility and one version of every slide, locked slides where it needs to be locked, centrally updated slides and text placeholders and image placeholders, automations like that. And also a record of actually what went out the door. And in a world where like, you know, a wrong disclaimer in the wrong market is a genuinely expensive mistake, that combination, you know, speed for users, but also certainty for the organization is like, is the whole value story here.
